How to respond to Google reviews: the short answer
To respond to a Google review, verify your Business Profile, open Read reviews, select Reply next to the review, type your answer and select Reply again. Reply to every review, thank good ones briefly, answer bad ones calmly without promotion, and report only reviews that break Google's rules.
A tool can draft the replies. Localo, GMB Everywhere and Google's own Gemini connection all can, and the last section covers all three.

Try Localo →Before you reply: verification and Google's review of replies
- Verify the business. Google says you must verify before you can reply.
- Open the profile and select Read reviews.
- Next to the review, select Reply, type your answer, then select Reply again.
Google reviews each reply before it shows. Replies usually take up to 10 minutes, and sometimes up to 30 days. An approved reply is public under the customer's review, and the reviewer is notified. The customer can still change the review after reading it. To fix a reply, open Read reviews and select Edit under it.
Replying to good reviews
Google's tips page says to keep a reply short and simple and to be conversational, not promotional, so a reply is no place for a deal. It also says to focus on reviews where a reply can share a helpful update or answer a question.
A two-chair hair salon might answer praise with one specific line: "Thank you for the kind words about your cut and color. We will see you at your next visit." The line carries no discount and no request for another review.
The salon's reviews come from asking every client with Google's link or QR code, which how to get more Google reviews walks through. Google treats a discount offered in exchange for a review as fake engagement.
Replying to bad reviews, and when to report one
Reply in a timely manner, stay factual, and never share a reviewer's private information or make personal attacks. For a complex case, Google suggests politely asking the reviewer to call or email you to settle it privately. Never threaten a reviewer: the FTC rule on consumer reviews and testimonials (16 CFR Part 465) names unfounded legal threats, physical threats, intimidation and public false accusations in its section on review suppression. This is a summary, not legal advice.
Report a review only if it breaks Google's policies, for example content posted from multiple accounts by or at the request of one person. Google says not to report a review just because you dislike it. Select Report next to the review, pick a reason and send it.
Evaluation typically takes several days, and Google does not get involved in conflicts between businesses and customers. A declined report can be appealed for up to 10 reviews at a time, and appeals can take up to 5 business days.
Drafting replies faster with a tool
Localo suggests a reply for each review from its rating and text, with 20 templates, and publishes it only after you press reply. You can edit the draft first. Google review management software compares the tools that do this, and Localo AI covers its drafting. The Reviews manager, one inbox for every profile's reviews, is a Pro feature. Eligible new users can draft replies this way during Localo's 14-day trial without entering a card.
Two other routes exist. GMB Everywhere's Free plan lists an AI review response generator, counted within its 5 views a month. Google's Gemini web app can draft review replies, but only for owners or managers of one verified profile, and not on a work or school Google Account for now.
An owner of one profile who answers a few reviews a month needs no paid tool. Someone answering reviews for several profiles should move to one.
